Letter of Thanks for Charitable Support

With so many charities and other good causes all competing for people’s attention it can come as a blessing when you get a positive response to your request to assist with fundraising efforts be it by making a financial contribution or an alternative offer of some kind of help. Therefore, if you are involved in fundraising efforts, you should always send a letter of thanks if a person or company has helped your cause in any way.

Not only is this courteous but it establishes and cements a good relationship between you and your charity, as the benefactor, and the person or company who has helped you. They will have had some kind of empathy with your cause initially, to prompt them into some kind of ‘call to arms’ to assist you so by expressing your gratitude in a letter, they are more likely to spread the word about your charitable cause and also more likely to get involved again when you run your next campaign.

People who offer financial assistance or some other kind of help to a charitable cause are becoming increasingly aware of the costs involved with administrative practices and these days, it is quite acceptable to send a letter of thanks as an e-mail if you have the person’s or company’s e-mail address.

How to Write the Letter

This is appropriate as they would much prefer that most, if not all, of the money which is raised is used to directly assist the cause as opposed to being spent on administration such as having to buy stamps to send a letter of thanks or by using expensive paper. Therefore, this is one instance where an e-mailed ‘letter’ of thanks is usually perfectly acceptable.

The letter (or e-mail) should not only express your gratitude but it will also be received even more favourably if you are able to give any indication as to what the money was spent on or how their help had a positive impact upon the cause in some other way.

Here is an example of a letter of thanks expressing gratitude for someone’s willingness to help a charitable cause.

Dear Mrs. Jones, On behalf of the Platt Lane Hospital Baby Care Unit, I would like to thank you for all your efforts manning your stall at Grosvenor Park Hall the weekend before last. Your commitment and effort, alongside many others who gave up their Saturday to assist us, helped raise a grand total of £3576 which will be put towards our goal of funding the new baby care unit at Platt Lane. Thanks to this latest fundraising effort, we now have approximately 85% of the total funds we need to purchase the vital medical facilities and equipment which, we hope, will make the new baby unit the best in the county. Without people like you, our efforts would be in vain so we are sincerely grateful to you for all your help. We will be holding other events over the next year and would like to keep you informed about these and any other news and developments concerning the new baby care unit as they happen. Therefore, we trust that you do not have any objections to us sending you a ‘news update’ e-mail periodically as developments occur. However, should you not wish to receive these, please respond with ‘REMOVE’ in the subject title and we’ll ensure you are taken off our mailing list.
